Cancellation Policy

This Cancellation Policy governs the cancellation of subscriptions to the Hivelink platform by organisations and their authorised users.

It does not govern cancellations, refunds or no-show policies applicable to parents, guardians or participants booking activities via the platform.

This policy forms part of, and should be read alongside, the Hivelink Platform Terms & Conditions.

1. Who may cancel

Only the Team Owner (the individual who created the Organisation’s Hivelink account) is authorised to cancel a Hivelink subscription.

Cancellation requests made by other administrators or users will not be accepted.

2. How to cancel

Subscriptions may be cancelled by the Team Owner via the billing section of the Organisation’s Hivelink account.

Cancellation requests must be submitted before the end of the current billing period in order to take effect at the end of that period.

3. Effect of cancellation

Cancellations take effect at the end of the current billing period.

Until the end of the billing period:

  • the Organisation will continue to have access to the Hivelink platform; and
  • all applicable subscription fees remain payable.

At the end of the billing period:

  • access to the Hivelink platform will cease;
  • administrator accounts will be disabled;
  • front-end booking pages will no longer be accessible;
  • End Users will no longer be able to access booking pages or account data relating to the Organisation.

4. Billing and refunds

Subscriptions are billed monthly in advance on the calendar day corresponding to the date the Organisation’s account was created.

No refunds are offered for cancelled subscriptions, including for partial billing periods, unused time or unused features.

5. Data access and exports

It is the Organisation’s responsibility to export any data it requires before the end of the billing period.

Once access to the platform has ceased, administrators will no longer be able to access, export or retrieve data via the platform.

Personal data will be retained by Hivelink in a restricted archival state in accordance with the Hivelink Platform Terms & Conditions, the Data Processing Agreement and applicable legal obligations.

6. Suspension for non-payment

Where payment of subscription fees fails or remains outstanding, Hivelink may suspend access to the platform.

Suspension for non-payment is temporary and does not constitute cancellation. Access may be restored once outstanding amounts are paid.

If non-payment continues, Hivelink may terminate the subscription in accordance with the Platform Terms & Conditions.

7. No minimum term

Hivelink subscriptions are provided on a rolling monthly basis and are not subject to a minimum contract term.

8. Changes to this policy

Hivelink may update this Cancellation Policy from time to time. The current version will be made available via the platform or on request.
